Prepare your BOM for a faster quote

What to put in a parts list so suppliers can quote quickly and correctly.

A clear parts list saves days of back-and-forth. Suppliers quote faster when they do not have to guess. This guide lists what to include and why.

Animation: two parts lists go to a supplier. The incomplete list A goes back and forth three times before a quote arrives. The complete list B gets a quote on the first pass.

A: an incomplete list. The supplier has to ask, often more than once. B: a complete list gets a quote on the first pass.

Start with complete part numbers

Use the full manufacturer part number, including every suffix. Suffixes often set the package, temperature grade or packaging.

Two parts can share a base number but differ in package or reel size. A short number forces the supplier to ask, or to guess.

The part number LM358DR split into three pieces: LM358 is the base number, D is the package code for SOIC-8, and R is the packaging code for tape and reel.

1 Base part number. 2 Package code: D is SOIC-8 for this part. 3 Packaging code: R is tape and reel. Suffix meanings differ between manufacturers, so check the datasheet.

  • Copy part numbers from the datasheet or your approved vendor list.
  • Put the manufacturer name in its own column.
  • Keep one part per row.

Give real quantities

State the quantity you need now. If you plan later orders, add them in a separate column.

Prices often change with quantity. A realistic number gets you a realistic price.

List approved alternates

If your design allows second sources, say so. Add the alternate part numbers your engineers have approved.

Alternates widen the search. They can shorten lead times when the first choice is hard to find.

Say what you need on arrival

  • Packaging: full reel, cut tape, tray or tube.
  • Date code: any limit, such as "2024 or newer".
  • Compliance: RoHS or other rules your customers set.
  • Documents: any paperwork your quality team needs with the goods.

Add your timing and budget

Tell us when the parts must arrive. "As soon as possible" and "within one month" lead to different options.

If you have a target price, include it. It helps us focus on sources that fit your budget.

Use a format that is easy to read

A spreadsheet or CSV file works best. Use one header row and avoid merged cells.

Two rows of a parts list for the same need. The first row has a short part number and blank columns. The second row has the full part number, manufacturer, quantity, packaging, date code limit and needed-by date.

Columns: 1 part number, 2 manufacturer, 3 quantity, 4 packaging, 5 date code limit, 6 needed by. The first row leaves the supplier guessing. Example data.

Send it with your request

Attach your list to the quote request form. It accepts spreadsheets, CSV, PDF and images up to 10 MB.

Our quote states the quantity, date code, packaging and lead time for each line we can supply.
